Contact, quote, audition or booking form

Data

Depending on what you choose to provide: your name, contact details, organisation, project details, choices or favourites, message and audition script.

Purposes

To understand your request, reply to you, send you personalised demos, prepare a conversation, audition or quote, and then perform the service if it is accepted.

Legal bases

How it works and retention

Your request is recorded in the form's private database. A notification is sent to contact@estellehubert.com through Google Workspace (Gmail); it includes the request, except for any script marked confidential, which is omitted.

The request data are kept in this database for six months. The audition script is kept there for no more than thirty days; a confidential script is deleted as soon as the request is marked as handled.

The service is scheduled every fifteen minutes to apply these retention periods to the active enquiry database. Deletion from that database does not delete emails already received or backup copies.

Correspondence and professional follow-up

Contact details and information relevant to your project also support our correspondence, quotations, services and client relationship.

For professional contacts, I may use your contact details to keep you informed about my work and offer my services when they relate to your work, on the basis of my legitimate interest. You can object at any time, simply and free of charge, by emailing contact@estellehubert.com or replying to a message.

Data kept solely for future business enquiries are retained for no more than three years after the last contact initiated by you. Client files, accounting records and the information strictly needed to respect an objection follow their own rules.

Notifications and our email exchanges are kept in my business mailbox and follow the same rules: those belonging to a client file stay with that file, and those kept only for future business enquiries follow the three-year rule above. You can ask at any time for the deletion of anything I am not legally required to keep.

Apéro Voice registration

Data

Your first name and email address and, for new registrations, the date received, the version and the wording of the consent you accepted.

Purposes

To email you Apéro Voice invitations and connection links, as well as information about the voice over profession, including artificial intelligence.

Legal basis

Your consent, given by ticking the box on the registration form. You can withdraw it at any time: simply send a message to contact@estellehubert.com.

How it works and retention

Your registration is recorded in the form's private database, where it is kept for six months, like a request. A notification is sent to contact@estellehubert.com through Google Workspace (Gmail).

For new registrations, the version, wording and scope of the consent are kept with the date received. Earlier registrations do not automatically acquire this new scope.

Your address is used only for these emails, based on your consent: to stop receiving them, a simple message is enough, and your address is then removed from the list.

Favourites and preferences

Your draft request

The contact form and multilingual calculator keep your input in this tab's session storage during your visit. It is not sent until you submit the request. A script marked confidential remains in this session, without a copy in persistent local storage. You can clear the draft from the form; it is also cleared after submission is confirmed. The browser warns you before closing or reloading could interrupt your input. Recovery after closing depends on your browser's restoration features and is not guaranteed.

The demos you add to your favourites are stored locally in your browser. I do not receive them unless you include them in a request submitted through the form. They remain until you remove them on the site or clear your browser data. Any display preference you request would follow the same principle.

Form protection

The enquiry form and Apéro Voice registration form are protected against automated submissions by Cloudflare Turnstile, a security service loaded only with these forms. This processing is based on the legitimate interest in securing the site and limiting abuse; it may involve technical processing by Cloudflare. Cloudflare describes its practices for this service in its Turnstile Privacy Addendum.

For the same purpose, one email address cannot submit more than five requests in one hour. Beyond that limit, the request is refused and nothing is recorded. This check uses only the email address and time of requests already received.

Cloudflare, Inc. processes signals including your IP address, browser and connection information, and the form identifier and origin to distinguish visitors from bots. Cloudflare acts as a processor to protect the site and also processes these signals as a controller to improve bot detection. Its retention and international processing follow the purposes and terms set out in its privacy addendum.

Videos

Audio files and videos hosted directly on this site remain available without YouTube consent. No YouTube player is loaded when you arrive on a page.

If you accept the YouTube player in the banner and then start a video, the site calls youtube-nocookie.com and, for the controls of some demos, youtube.com. Your IP address and technical browser data may be transmitted to Google; trackers may be used for playback, measurement and advertising. This loading is based on your consent.

Without consent, whether you declined or have not chosen yet, audio remains available and a video still plays in the page when you click its play button. The site then calls youtube-nocookie.com only, for that video; Google receives your IP address and technical data from your browser. This loading responds to your request to play that video: it is not consent and does not change your choice.

Your choice is stored for 183 days in your browser's local storage. “Manage cookies” in the footer lets you change it or withdraw consent. If a YouTube player is open when you decline or withdraw consent, the page reloads to stop it.

In the European Economic Area, YouTube is provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google's practices and stated safeguards for international transfers are described in its privacy policy and its information on data transfers. Privacy-enhanced mode does not remove all data processing.

Calendar

The appointment buttons open Google Calendar in a new tab. The site sends no booking data before you click. The information you then enter is handled by Google and by me to arrange the appointment.

Browsing and hosting

To serve, secure and maintain the site, your IP address, the date and time, the requested resource, browser information and diagnostic data may be processed. This processing is based on legitimate interest.

To count visits, I use Cloudflare Web Analytics, a cookie-free audience measurement tool: it counts visits, page views, the country and the site you came from, without identifying you. This counting is based on my legitimate interest in improving the site.

Cloudflare, Inc. serves the site through its international network. The Cloudflare D1 enquiry database runs in Western Europe. D1’s automatic backup (Time Travel) can restore the database to a point within the previous thirty days at most.

Persistent application logging is not enabled for the website service or its search engine. It is enabled for the private folder service, with seven-day retention under the Cloudflare plan in use. These settings are separate from the hosting provider’s own processing to operate and secure its network.

Searches in The Booth

The filters let you explore the catalogue in your browser. Conversational search sends the necessary messages to The Booth's search service to understand your project and select demos. This search does not submit a contact form.

If you open a request from The Booth, your search may be copied into the Message field. You can edit or remove it before submitting. Favourites remain in this browser as described above.

Calculators and searches in The Booth

The Booth’s conversational search uses an engine hosted by Cloudflare and the OpenAI API to understand your wording and the necessary conversation, then select demos. The information sent depends on what you write. It is separate from a contact form or a service enquiry until you submit one.

The Booth asks OpenAI not to store responses as application objects. This does not remove the provider’s abuse-monitoring logs: its documentation provides for retention of up to thirty days by default, subject to the exceptions it describes. Zero retention and exclusively European processing are not claimed.

OpenAI API data controls.

The private record of searches, plays and choices is not connected to a collection database, so this measurement is not active. Calculators keep entries in the tab during the visit and transmit estimate details when you submit your enquiry. Demo folders provided after an enquiry remain accessible through their link for thirty days; the link expiring does not, on its own, delete the data from the database or backups.

Recipients

Data access is limited to me, the necessary technical service providers, Google Workspace (Gmail), Google/YouTube only after the relevant action, and legally authorised advisers or authorities. The data are not sold.

Transfers outside the European Economic Area

Cloudflare, Inc. provides hosting and technical services. Its data-processing agreement provides for the EU-U.S. Data Privacy Framework where applicable and standard contractual clauses for transfers that require them. These database and logging settings do not guarantee that processing takes place exclusively within the European Economic Area.

Cloudflare data-processing agreement.

For a customer based in the European Economic Area, OpenAI’s standard agreement names OpenAI Ireland Ltd. and provides for standard contractual clauses or an adequacy decision for necessary transfers to other countries. Search messages may therefore be processed outside that area, including in the United States.

Google services may also involve international processing under their terms and transfer safeguards. For people in the European Economic Area, YouTube is provided by Google Ireland Limited.

Your rights

Depending on the processing, you have rights of access, rectification, erasure, restriction, portability or objection. Where processing is based on your consent, you may withdraw it at any time for the future.

Send your requests to contact@estellehubert.com or by post to the address above. Proof of identity will be requested only if there is reasonable doubt. You can also lodge a complaint with the CNIL.
